What is Hypnotes eSign Document Management?

Hypnotes has included eSign capability in all subscription levels, eliminating the need for a 3rd party eSign subscription and resolving client confusion with how to complete and return forms. You can upload a variety of documents for automatic distribution to clients during the appointment scheduling process including notices, and forms requiring eSignature, guaranteeing that necessary paperwork is completed prior to the appointment. You no longer have to send documents back and forth, nor store reams of paper. Instead, all forms are stored securely in the client’s HIPAA compliant online record.

How do I upload forms and documents to Hypnotes?

Documents’ from the left-side navigation menu found here. Click on ‘Add New Document’, then ‘Select File.’ Please note, documents must be .pdf or .docx files. If your document is a form requiring client input or signature you must annotate (edit) the document to define the fields that require input or signature. If the document does not require client input, annotation is not necessary.

How do I annotate my PDF document?

To view or edit documents, please select ‘Documents’ from the left-side navigation menu found here. Click on the ‘View & Edit’ button under the appropriate document. Select the type of annotation. You can change the document name, add checkboxes, a field for client signature (Signature Field), text boxes (Text Input), or insert your signature (Signature Input). Then drag and drop the new field to the appopriate area of the document. Be sure to save your changes by clicking “Update Document.

How do I send documents to clients for completion?

There are two ways that documents can be presented to your clients. First, when creating services, you will be asked to associate the necessary documents to each specific service. Then, when client’s schedule an appointment for that service, the document(s) will be presented for completion during the scheduling process. Client’s will not be able to book the appointment without completing the required documents. Should you require a client to complete a document outside of the appointment scheduling process, you can send the document directly from Hypnotes to the client via their registered email. First, select ‘Clients’ in the left-side navigation menu. Search or scroll to the appropriate client and click on their name or ‘View Details’ to open the client detail window. Click on ‘Send a New Document’ to view your documents. Click ‘Send’ under the appropriate document and it will automatically be sent to the client. The email will include a link to take the client directly to the appropriate form for the to complete. The document will then be stored within their client record in your client portal.
