How do my clients pay for sessions?

Hypnotes can collect payment in advance at time of booking, or you create invoices and request payments manually. Clients can submit payment using Paypal, Square, Stripe, or a debit/credit card. These payment systems charge processing fees as follows: EMS (Credit or Debit Card) : 1.5% PayPal : 2.89% + 30¢ Stripe : 2.7% + 30¢ Square : 2.9% + There are two ways to determine if you would like payments in advance. First, when setting up your service offerings, you can select “Payment Required” from the Service detail window. The system will then prompt the client to submit a payment method at the time of booking. Alternatively, if you are booking the appointment rather than the client, you can select “Collect Payment” from the Appointment detail window, or leave it unchecked if you will be requesting payment later. If you prefer, you can allow clients to book sessions without collecting payment up front. But remember that requiring advance payment is proven to reduce cancellations and now-shows. After an appointment is completed, you can create and send an invoice from the client detail window, Invoices tab. Alternatively, you can get payment information and enter it by selecting “Get Payment” in the client detail window. Both of these options are found in the client’s individual client record.

How do I create an invoice?

You can create client invoices from the client detail view in your client portal. Log-in to your account and select “Clients” from the left-side navigation menu, then scroll to the client you want. Click on their name or the “View Details” button in the lower left to open the client detail view. Click on the “Invoices” tab which will open a new blank invoice. If you have uploaded your company logo and other company details to your profile, the invoice will display those details, or you may complete them by clicking on the relevant field. Some fields are required. Confirm or change the Invoice Number, Invoice Date, and Due Date. Scroll down and you can select the appropriate service from the dropdown, or enter your own. Confirm or change the Quantity and Rate. The total will update automatically. You can enter a custom note or Terms & Conditions which is a great place to put payment instructions. When you are satisfied, click save in the lower left to save the invoice. Once saved, you can download the invoice to your computer or send it to the client directly from Hypnotes.

How do I get paid for client sessions?

After payment is collected from your client, allow an additional 2 - 3 business days for payment to be transferred to you using your chosen payment method. Hypnotes can transfer funds to you via Paypal, Square, or Stripe.

How do I set up my payment accounts to receive funds?

You can receive payments by integrating your Hypnotes account with Paypal, Square, or Stripe. To connect your account to the payment service of your choice, go to the account settings drop-down menu by clicking on the arrow next to your profile picture in the upper right of your screen and selecting “Integrations”. Then select the tab called “Payments”. Click on your preferred payment service and follow the instructions. If you don’t already have an account with any of these services, you’ll need to create one first. Be sure to have your log-in information handy as you’ll need it to complete the integration.

Does Hypnotes include the ability to accept coupons or offer discounts?

Yes! Hypnotes coupon feature is the simplest way to offer a variety of discounts. To offer a discount, log-in and select “Coupons” from the left-side navigation menu. Here you can create new coupons, or view expired coupons, including usage statistics. To create a coupon, click the “+ Add New Coupon” button in the upper left and complete the information in the Coupon detail window. The “Coupon Name” is also the coupon CODE that clients will enter when checking out. Add a date when the promotion starts. The expiration date is the last day the coupon code can be used. “Number of Usage Limit” is the number of times the coupon can be redeemed. Enter the discount rate either as a percentage or a specific dollar amount then select the service (s) which are eligible for discount. Finally enter a description with the details for your reference and select “Save” in the lower left. Active Coupons will be displayed. From here you can copy the coupon/promo code and paste it into emails or online ads, promotions, and social media posts. Redemption information will be found within each coupon card listing. To redeem a coupon code, the code must be entered as a “Promo code” at the top of the payment detail window, exactly as created.
